You can submit requests for time off and track your leave balances in PaySauce. Once submitted, your employer will review and approve your requests before the leave is processed in your pay.
Viewing your leave balances
Your leave balances appear at the top of the Leave Requests page. For each leave type, you'll see:
Accrued hours: Total leave you've earned
Hours taken: Leave you've already used
Available balance: Remaining leave you can use
Note:
Partial hours are shown as decimals. For example, 7.5 hours means 7 hours and 30 minutes of leave.
If you've taken more leave than you've accrued, the balance will show as a negative number (e.g., "-4.25 hours").
Submitting a leave request
To submit a new leave request:
Select Leave Requests from the navigation menu
In the Create Leave Request section, complete the following:
Leave type: Select the type of leave you're requesting
Reason: Add any notes to help your employer understand the request (e.g., "Christmas leave")
In the Details section, add each date and amount of leave:
Select the + button to add a new date
Date: Enter or select the date for your leave
Quantity: Enter the number of hours as a number
For partial hours, use decimals. For example, 8 hours 30 minutes = 8.5, or 4 hours 15 minutes = 4.25
Unit: This will always be set to Hours
Repeat these steps for each additional date you need to add
Select Save
Your leave request is now submitted with a status of Pending and will appear in your leave request list.

You can submit requests for the following leave types:
Annual leave
Community Service leave
Community service leave (unpaid)
Compassionate Leave
Family and Domestic Violence Leave
Sick Leave
Parental leave (unpaid)
Public holiday
Time off in Lieu (TOIL)
Unpaid Carer's leave
Other leave (unpaid)
Requesting multiple leave types on the same day
If you need to use different types of leave on the same day, submit a separate request for each leave type.
Example: If you're taking 4 hours of annual leave and 4 hours of unpaid leave on the same date, create two requests:
One request for 4 hours of annual leave on that date
Another request for 4 hours of unpaid leave on the same date
Viewing your leave requests
Quick view
All submitted leave requests appear on the main Leave Requests page. Each entry shows:
Leave type: The type of leave requested
Reason: Any notes you added
Date: The day of the month for the request
Note: Use the pagination arrows or numbers at the bottom of the list to view older requests. You can also change how many requests appear per page using the number dropdown.
Detailed view
Select any leave request to view its full details, including:
Leave type: Type of leave requested
Reason: Any notes about the request
Details: All dates and hours included in the request
Status breakdown: The approval status for each date in the request
Note: The status breakdown helps you see if your employer has approved or declined specific dates within a multi-day request.
Making changes to a leave request
You can only edit or delete leave requests where all dates have a Pending status.
To make changes:
Select the leave request from your list
Update the dates, hours, or details as needed
Select Save
To delete an entire request (only available when all dates are Pending), select the request and then select Delete.
โ ๏ธ Changes are only saved when you select Save. If you navigate away without saving, your changes will be lost.
Editing individual dates in a request
If some dates in your request are approved or declined, you can only edit or delete the dates that are still Pending. Approved or declined dates cannot be changed.
Understanding leave request statuses
Your leave requests (and individual dates within them) will show one of the following statuses:
Pending: Submitted and waiting for your employer's approval. You can still make changes to pending dates.
Approved: Your employer has approved the request or specific dates. No changes can be made.
Declined: Your employer has declined the request or specific dates. No changes can be made. Contact your employer if you have questions.
Completed: The request has been processed in a pay run. No changes can be made.

Once a leave request is approved, you can't make changes. Contact your employer to discuss any needed adjustments.

If your employer declines specific dates within a leave request, you can only edit or delete the dates that remain Pending. The approved or declined dates are locked. Contact your employer to understand why certain dates were declined.

A negative balance means you've taken more leave than you've accrued. This might happen if your employer approved leave in advance or if you're repaying leave. Check with your employer if you have questions about your balance.
