Managing employee leave

This article provides an overview of how leave management works in PaySauce.

PaySauce helps you track employee leave balances and manage leave requests. The system automatically calculates leave accrual according to Australian Fair Work and Award specifications, and handles leave requests submitted by employees or entered by you on their behalf.


What PaySauce handles automatically

PaySauce automatically:

  • Accrues leave according to Fair Work and Award requirements

  • Calculates Long Service Leave based on the employee's state of employment

  • Tracks leave balances across all leave types

  • Updates balances when leave is taken

  • Includes approved leave in pay runs

  • Reports leave to the ATO through Single Touch Payroll


Leave types supported

PaySauce supports the following leave types:

  • Annual leave

  • Community Service Leave

  • Community service leave (unpaid)

  • Compassionate Leave

  • Family and Domestic Violence Leave

  • Sick Leave

  • Parental leave (unpaid)

  • Public holiday

  • Time off in Lieu (TOIL)

  • Unpaid Carer's leave

  • Other leave (unpaid)


How leave works in PaySauce

Employee-submitted requests

Employees can submit their own leave requests through PaySauce. These requests appear as "Pending" until you approve or decline them. Only approved leave is included in pay runs.

Employer-entered leave

You can add leave on behalf of employees directly. This is useful when employees don't have PaySauce access or when you need to add leave quickly during payroll processing.

Leave approval

All leave must be approved before it's included in a pay run. You can approve leave requests individually or in bulk, and you can approve leave at the time you enter it on behalf of an employee.


Viewing leave balances

You can view any employee's leave balances to see:

  • Accrued hours for each leave type

  • Hours taken

  • Available balance


Important reminders

All leave must be entered in PaySauce

This includes public holidays. Entering all leave ensures:

  • Leave balances remain accurate

  • Employees are paid correctly

  • ATO filing is completed correctly

Check for unapproved leave before processing pay

Before completing a pay run, always check that all intended leave has been approved. Unapproved leave requests are not included in pay runs.

Custom leave entitlements

If an employee has different leave entitlements than the standard, you can customise their settings in their employee record, including:

  • Number of annual leave weeks per year

  • Annual leave loading

  • Leave accrual for overtime hours

  • Maximum leave accrual hours
