Setting up and using the time clock

Capture employee shift start and end times from a central device

PaySauce's time clock feature lets you capture employee shift start and end times from a central device - such as a phone, tablet, or computer placed in an office or break room. It works in the same way as a traditional time clock (also known as a Bundy clock or punch card machine).

When the time clock is enabled for your organisation, employees must use it to record their timesheets. Employees won't be able to submit timesheets through their PaySauce app - all clocking on and off must happen at the central device.

Note: As the employer, you can still add and edit timesheets on behalf of employees at any time.


Setting up the time clock

Step 1: Create a kiosk

A kiosk is your time clock - the configured device employees use to clock in and out. You can set up one kiosk or several, for example if you have employees working across multiple locations.

  1. Select Manage time clocks

  2. You're taken to the Kiosk Management page, which lists any kiosks you've already created

  3. Select + Add Device

  4. Enter a name for the kiosk - if you have multiple devices in different locations, a descriptive name helps you identify which kiosk was used when reviewing timesheet records

  5. Select Generate code

  6. A unique 6-digit authorisation code is generated - write this down, as you'll need it in the next step

Note: If you ever need the code again, you can return to the Kiosk Management page to retrieve it after it has been set up for the first time.

Step 2: Load the kiosk on your device

  1. On the device you want to use as your time clock, navigate to https://app.paysauce.com/kiosk/pair

Note: If this is the same device you use for PaySauce day-to-day, open this URL in an incognito or private browsing window to avoid conflicts with your employer login.

  1. On the Kiosk Authorisation screen, enter your 6-digit authorisation code

  2. Select Continue

Your time clock is now active and will display a list of your employees.


Clocking employees in and out

Clocking in (start of shift)

  1. Select the employee's name from the list

  2. Select Clock in - this records their shift start time

Clocking out (end of shift)

  1. Select the employee's name from the list

  2. Select Clock out - this records their shift end time and submits the timesheet


Managing your kiosks

From the Kiosk Management page you can:

  • Rename an existing kiosk

  • Add additional kiosks at any time by selecting + Add Device

  • Deactivate a kiosk by selecting Revoke from the actions menu in the devices table

  • Remove deactivated kiosks by selecting Delete from the actions menu in the devices table


Common questions

Can employees still use the PaySauce app to submit timesheets when the time clock is enabled?

The choice is yours. The setting is employee specific, so you can have one employee forced to use the time clock and another employee who has the option.

To disable the time clock for an employee, all you need to do is:

  1. View the employee's profile

  2. Select the Employment Details tab

  3. Choose Timeclock as the Time Entry Model

  4. Click Update

The employee can still use the time clock regardless of the Time Entry Model used, however selecting Timeclock will lock them into only using the time clock.

Can I set up more than one time clock?

Yes. You can create as many kiosks as you need from the Kiosk Management page - for example, one per site or department. Each kiosk gets its own unique authorisation code and name.

What if an employee forgets to clock in or out?

As the employer, you can add or edit timesheets on behalf of employees at any time. Go to Employees > select the employee > Timesheets to make corrections.

Can I disable the time clock later?

Yes. Return to Company Settings and untick the Timeclock Enabled checkbox to disable it for your organisation. Individual kiosks can also be deactivated at any time by selecting Revoke on the Kiosk Management page.
