STP Tools

This article explains how to use the STP Tools feature, including: sending STP Update events, STP Finalisation events, viewing current employee STP information and viewing previous STP submissions.

PaySauce automatically files your STP reports to the ATO after every single pay run. This will meet your regular reporting requirements, however there are times you will need to send additional reports or view a history of lodgements.

With STP Tools, you will be able to:

  • View all the data you are reporting through STP for your employees

  • View previous reports filed

  • Send an Update Event

  • Send a Finalisation Event


View Employee Information

All current information being report to the ATO through STP can be viewed under the Current FY Details header. This will have a list of all your employees. Click on an employee to expand and view more information.

Clicking on their name will show the employee's:

  • Personal Details - Name, Tax File Number, Date of Birth, payroll ID, email, phone

  • Address

  • Employment Conditions - Start date, payment basis, tax code.

  • Remuneration - Income type, total gross, PAYGW and overtime.

  • Paid Leave - Annual leave, sick leave, worker's compensation, paid parental, etc

  • Allowances - Sorted by the STP type code

  • Deductions - Only applicable for deductions reported through STP, such as Child Support

  • Superannuation

It is recommended to review this information before lodging a Finalisation Event


View Previous Filings

Clicking on the Filings header will show you a history of all STP lodgements. This includes STP submissions from:

  • Standard pay run submissions

  • Additional pay submissions

  • Update events

  • Finalisation events

This area will tell you:

  • The type of filing.

  • The pay run or the employees it relates to.

  • The status of the submission.

  • When it was created.

  • When the last update was.

  • The filing that was sent to the ATO.

  • The response provided by the ATO.


Send Update Event

There may be a time where employee data has to be resent to the ATO. By performing an update event, you will be sending the current employee information and YTD totals to the ATO. This will be unrelated to a specific pay period.

To send an update event:

  1. Click Send Update.

  2. Select the employees to send the Update event for.

  3. Tick the confirmation box

  4. Select Confirm

Update Events are sent to provide the ATO with the current YTD information. It may be best to confirm with an accountant or advisor if it is appropriate to send an Update event first.


Send Finalisation

The ATO required a Finalisation event to be sent each year to confirm that the employee is ready to start their tax return. The deadline for employers to send this is the 14th of July.

Before sending an update event, it is best practice to review the following details for employees:

  • Personal details.

  • Employment details.

  • Earnings, including allowances and overtime.

  • Deductions made.

  • Superannuation.

Once you are confident the information is correct, you can lodge the finalisation event by:

  1. Clicking on Send Finalisation

  2. Selecting the employees to include.

  3. Tick the box to confirm the declaration above.

  4. Select confirm.

The finalisation can be sent any time after your last pay run for the year, however it may be best to wait until the 1st of July to avoid the risk of an additional unexpected pay run.


Common Questions

An employee's details are wrong, what do I do?

The first step is to work out the issue and what it should be. This may require talking to your accountant or a trusted advisor. The next steps will depend on the time of year and the changes made. It will be one of the following:

  • No further changes required, it will be picked up in the next STP event

  • An Update Event will need to be sent

  • The Finalisation event will pick up any changes

  • If the Finalisation event has been sent already, contact support.

If you and your accountant are unsure on how to proceed, please contact support.

What does the Finalisation Event do?

The main purpose of the Finalisation event is to mark every employee as "Final". This simply means their final pay run for the year has been completed and is ready to be included in the tax return.

It is a requirement for the Finalisation Event to be sent and accepted by the 14th of July.

Do I need to send a Finalisation Event for every employee?

If you have paid an employee and reported their earnings through STP, you are required to lodge a Finalisation Event for the employee. This includes casual employees and full time employees.

I have no pay runs left for the financial year, can I finalise now?

While you can finalise the pay run now, it is advised to wait until the 1st of July. There is always the risk that you need to make a last minute payment on the 30th of June, resulting in you having to reconfirm and re-lodge everything.

Instead, it would be best to use this time to review information and make sure everything is ready to lodge right on the 1st of July.

I have already finalised but realised there is a mistake and need to finalise again. What do I do?

Please contact support immediately. We will work with you to make sure the new finalisation event is filed correctly.
